Metronet Rail partner with BuildOnline for effective collaboration

Transportation organisations face the constant challenge of how to best harness technology to support their primary business objectives. By necessity solutions that can be utilised project wide need to be simple to use, able to bypass any conflicting IT policies across the supply chain and be able to efficiently manage the huge volumes of documentation and communications associated with major projects.

Metronet Rail is responsible for the maintenance and renewal of trains, track, stations, tunnels and other infrastructure associated with eight of the capitals eleven tube lines. To achieve this Metronet Rail and its supply chain require ready access to significant volumes of information and documents, some dating back a hundred years. In order to meet the aggressive timescales for completion, the project management team require access to information from any location, 24 hours a day.

Metronet Rail rely upon effective collaboration across their supply chain to deliver this capital intensive program. They selected Sword CTSpace BuildOnline not only to provide a complete document management solution but also to ease the burden of managing complex processes such as document approvals and RFIs. All project information is collected and recorded in one central location with a full audit trail.

The easy-to-use folder structure enables users to search, access and revise more than 145,000 documents relating to the project. Delays caused by the printing and distribution of multiple copies of documents have become obsolete.

BuildOnline has become integral to Metronet Rail’s operations and processes with more than 25,000 logins taking place every month. Full integration with other software applications inclusing Ellipse and Projectwise enables users to seamlessly upload documents from one system to another.

Sword CTSpace worked with Metronet Rail to map their procedures and create automated processes to streamline approval times for critical documents, significantly improving business operations. Its ease of use has enabled Metronet Rail to quickly and effectively roll the solution out across the organisation, adoption has been rapid with 66% of users accessing the platform every day and 80% finding information easy to locate.
